How to Choose a Wedding Venue: 15 Questions to Ask Before You Book | North Texas
Choosing your wedding venue is one of the biggest decisions you'll make during wedding planning.
It's also one of the first decisions you'll need to make.
Your venue sets the tone for your wedding day, determines how many guests you can invite, influences your vendor choices, and can have a huge impact on your overall budget.
With so many beautiful wedding venues in North Texas, it can be easy to fall in love with a space before you've asked the questions that really matter.
Before you sign a contract, here are 15 questions we recommend asking every wedding venue you're considering.
1. What's included in the venue rental?
This may seem like an obvious question, but don't assume everything you see during a tour is included in the rental price.
Ask specifically about:
Tables and chairs
Ceremony space
Reception space
Getting-ready suites
Setup and cleanup
Décor
Linens
Lighting
Sound equipment
Parking
Access to outdoor spaces
A venue that appears more expensive at first may actually be the better value once you compare everything that's included.
2. What does the total cost actually look like?
The advertised venue price is only part of the equation.
Ask the venue to walk you through the total expected cost, including required services, fees, taxes, staffing, rentals and anything else you'll be responsible for.
And don't be afraid to ask:
"Are there any additional fees we should know about before we book?"
You want to know the full number—not just the number that gets your attention on the website.
3. What happens if it rains?
Especially if you're planning an outdoor ceremony in Texas, this is a BIG one.
Don't just ask whether the venue has a rain plan. Ask what the actual plan is.
Will your ceremony move indoors? Is there an additional fee? Will your reception space have to be flipped? Who handles the transition?
Weather shouldn't be something you're worrying about all week leading up to your wedding.
At Davis & Grey Farms, couples have both an indoor climate-controlled chapel and an outdoor ceremony option, so you don't have to choose between the ceremony you love and peace of mind on your wedding day.
4. How much time will we have at the venue?
Find out exactly when you can arrive and when you need to leave.
Ask about:
Bridal suite access
Groom's suite access
Vendor arrival
Setup time
Ceremony time
Reception end time
Cleanup time
Additional hours
This can make a huge difference in how your wedding day actually feels.
5. Do you have getting-ready spaces?
If you're planning to get ready at the venue, don't just look at pictures of the bridal suite.
See it in person.
Is there enough room for your bridal party? Is there natural light? Are there comfortable places to sit? Is there a bathroom nearby? Can your photographer move around easily?
And don't forget about the groom's side.
A great getting-ready experience can make the beginning of your wedding day just as memorable as the ceremony and reception..
6. Can we have our ceremony and reception at the same location?
Having everything in one place can make your wedding day significantly easier.
Ask whether the venue offers:
Indoor ceremony space
Outdoor ceremony space
Cocktail hour space
Reception space
Getting-ready spaces
Photo locations
And if you're considering an outdoor ceremony, ask whether the venue has a backup option without requiring a complicated room flip.
7. Do you provide décor?
This is one of the questions couples often forget to ask.
Some venues provide an empty space and leave you to rent or purchase everything.
Others include décor items that can save you hundreds—or even thousands—of dollars.
At Davis & Grey Farms, our included décor collection gives couples access to ceremony pieces, table numbers, card boxes, bud vases and more.
It's one less thing to purchase, rent, transport and remember.
8. Are we required to use certain vendors?
Some venues allow you to bring in any licensed and insured vendor you choose.
Others have preferred vendor lists, while some require specific vendors.
Ask before booking so you understand how much flexibility you'll have.
And if there are required vendors, make sure you understand their pricing before signing your venue contract.
9. Is coordination included?
This is a BIG question.
A venue coordinator and a wedding planner are not always the same thing.
Ask exactly what coordination means at your venue.
Will someone help create your timeline? Coordinate vendors? Run the ceremony? Handle setup? Cue your DJ? Help solve problems throughout the day?
The word "coordination" can mean very different things from one venue to another.
10. What is the payment schedule?
Before signing a contract, make sure you understand:
Initial deposit
Payment schedule
Final payment deadline
Accepted payment methods
Cancellation policies
Rescheduling policies
And ask whether there are financing or payment-plan options.
At Davis & Grey Farms, we offer payment plans with no interest, giving couples the ability to spread out their payments rather than having to pay everything at once.
11. How many weddings do you host on the same day?
This is an important question that doesn't get asked nearly enough.
Some venues host multiple events in different areas of the property.
Others host only one wedding at a time.
If privacy and having the venue feel completely yours are important to you, make sure you understand how the property operates on wedding days.
12. Where will our guests park?
It sounds small, but guest experience starts the moment they arrive.
Ask:
Is parking included?
Is it close to the ceremony?
Is there adequate lighting?
Is there accessible parking?
Is there a shuttle requirement?
Where do vendors park?
You don't want your guests arriving confused about where they're supposed to go.
13. What happens if we need additional time?
Wedding days rarely go exactly according to plan.
Ask what happens if you need extra time for setup, photography or your reception.
Is additional time available? How much does it cost? Does it need to be arranged in advance?
We have two options when adding additional time. 1. Bridal Suite Only Access at $150/hour or 2. Full Venue Access at $250/hr. Knowing this ahead of time can save you from an unpleasant surprise later.
14. Can we tour the venue more than once?
Don't be afraid to ask for another look.
Your first tour may be focused on whether you love the space.
Your second tour can be about logistics. We host these additional appointments Tuesday and Thursday, 9am-5pm.
Bring your parents, planner or fiancé. Walk through the ceremony, cocktail hour and reception flow. Think about where your guests will actually move throughout the day.
The right venue should make you feel comfortable asking questions.
15. How will you help make our wedding day easier?
This might be the most important question of all.
Because your venue isn't just a building.
You're trusting the people behind that venue with one of the biggest days of your life.
Ask what their communication looks like after booking. Ask who you'll work with. Ask how they help couples stay organized. Ask what support is available during the planning process.
And pay attention to how they make you feel during the tour.
Do you feel rushed?
Do you feel pressured?
Or do you feel like someone is genuinely excited to help you plan your wedding?
The Right Wedding Venue Should Feel Like More Than a Beautiful Space
Of course you want a venue that makes you say, "This is it."
But the prettiest venue isn't always the best venue for you.
The right venue should fit your budget, your guest count, your vision and your expectations for the planning experience.
It should answer your questions clearly.
It should have a plan for the unexpected.
And most importantly, you should feel confident that the people behind the venue are going to take care of you.
At Davis & Grey Farms, we believe wedding planning should be exciting—not overwhelming.
From our indoor and outdoor ceremony options to our included décor collection, getting-ready spaces and flexible planning options, our goal is to make your wedding day beautiful while making the planning process feel easy.
If you're looking for a North Texas wedding venue and want to see what makes Davis & Grey Farms different, we'd love to show you around.
